Fastcare maintains a hierarchy of users to protect patient data. A Fastcare Administrator establishes corporate positions such as the Corporate Clinician who can monitor activity across multiple nursing homes, the Group Clinicians who can monitor multiple facilities, but not all facilities, and Level I personnel who are responsible for individual facilities. Level I personnel may be a DON or Facility Administrator, and are responsible for establishing and maintaining the other personnel files in that facility. Level I access can edit or delete personnel, and change passwords.

As of April 3, 2016, Corporate and Group Clinicians have the same rights and capabilities as Level I personnel.

Level I administrators can create and delete Level II nurses and other local personnel.

As of March 26, 2018, Surveyors can be added to Facility accounts. Surveyors are state or other workers who are responsible for monitoring or inspecting the level of care at a nursing facility. Surveyors cannot enter data, but they can view reports and wound history on individual residents.

As of January 24, 2019 MDS Coordinators can be added for Facility accounts.
